This Privacy Policy explains how Archie Works, Inc. (“Archie,” “we,” “us,” or “our”) collects, uses, stores, and protects your information when you use the Archie platform and related services (the “Service”).
By using the Service, you agree to the terms of this Privacy Policy and our Terms of Service.
The Archie Privacy Commitment
Archie is built around a simple belief: Your memories are private, personal, and yours.
- Archie does not sell your personal data
- Archie does not sell your photos, videos, or memories
- Archie does not allow your content to train third-party AI models
- Archie is designed as a private family archive, not a social platform
1. Information We Collect
We collect information necessary to operate, maintain, and improve the Service.
1.1 Information You Provide
You may provide:
- name
- email address
- account credentials
- family member names and relationships
- photos and videos
- written memories and captions
- documents (e.g., letters, recipes)
- milestone and timeline entries
- family tree data
- communications with Archie
This is referred to as User Content.
1.2 Automatically Collected Information
When you use the Service, we may collect:
- device type
- browser type
- IP address
- approximate location (derived from IP)
- city-level location data (latitude and longitude from photo and video metadata, rounded to approximately 11-kilometer granularity before storing)
- timestamps of activity
- usage events (uploads, shares, views, interactions)
1.3 Cookies and Analytics
Archie uses cookies and similar technologies to:
- maintain login sessions
- remember preferences
- analyze product usage
- improve performance
We may use tools such as Google Analytics or Mixpanel (or similar tools). These tools help us understand how users interact with the Service.
Archie uses analytics data only for internal purposes and does not sell or share it for advertising by third parties.
2. How We Use Information
We use information to:
- operate and maintain the Service
- store, organize, and display memories
- enable sharing features
- process subscriptions and payments
- generate AI-assisted organization and summaries
- improve product functionality
- provide customer support
- ensure platform security and integrity
- detect fraud, abuse, or misuse
Archie may also use anonymized, aggregated, or de-identified data to improve the Service, develop new features, and enhance performance. This data cannot reasonably be used to identify you or your family.
3. AI and Photo Processing
Archie uses automated technologies and artificial intelligence to organize memories and enhance the user experience. These systems may:
- group photos by faces
- cluster images
- generate timelines
- infer events
- infer approximate places (city or region) from photo metadata
- suggest relationships
- generate summaries and captions
These processes may create derived metadata, including:
- timestamps
- inferred locations
- event groupings
- tags
- photo clusters
- relationship associations
Archie processes User Content using automated systems solely under the license granted in the Terms of Service.
Users may review and edit AI-generated outputs, and certain AI features may be optional or adjustable. Archie does not allow your content or metadata to be used to train third-party AI models.
Archie may use third-party infrastructure or APIs to process data solely to provide the Service. These providers are contractually restricted from using your data for their own purposes.
4. Sharing and Access Controls
You control how your content is shared. Content may be shared through:
- invited family or friends
- private links
- password-protected links
Recipients of shared content may view it but cannot edit it unless explicitly authorized.
Archie may collect limited technical data (such as access timestamps or connection data) to operate and secure shared links.
Archie team members may access your photos, captions, and tags as needed to provide support, troubleshoot issues, or fulfill keepsake book orders. Access is limited to authorized team members.
City-level location data from your photos and videos is stored privately and used only to organize and describe your content. Archie rounds latitude and longitude to approximately 11-kilometer granularity before storing — we do not store or expose street-level coordinates. Shared links and shared previews show location only at city or region granularity.
You can turn off location collection at any time in Settings. Turning it off stops Archie from reading location data from new uploads and permanently deletes city-level location data already stored on your existing photos and videos. We do not retain a recovery copy.
Important:
Once you share content outside your private account, Archie cannot control how recipients may store, copy, distribute, or use that content. You share content at your own discretion and risk.
5. Third-Party Service Providers
Archie relies on trusted third-party providers to operate the Service. These may include:
- cloud infrastructure providers (e.g., AWS or similar)
- analytics providers (e.g., Google Analytics, Mixpanel)
- payment processors (e.g., Stripe, Google Payments, Squarespace Payments)
- AI and image processing services (e.g., Amazon AI services)
- communication tools
These providers process data only as necessary to provide services to Archie and are contractually restricted from using your data for their own purposes.
Archie is not responsible for the independent practices of third-party services.
6. Payments
Payments are processed by third-party payment providers. Archie:
- does not store full credit card information
- relies on secure payment processors
Billing records (such as name, email, and transaction details) may be retained for legal and accounting purposes.
7. Data Retention
We retain data only as long as necessary to operate the Service and meet legal obligations.

8. Data Export and User Responsibilities
You may export your content at any time using available tools. You may also request:
- access to your data
- correction of your information
- deletion of your account

Important:
You are responsible for maintaining independent backups of your content. Archie does not guarantee permanent storage or archival integrity.
9. Business Transfers
If Archie is involved in a merger, acquisition, financing, or sale of assets, your data may be transferred as part of that transaction. Any successor entity will be required to honor this Privacy Policy.
10. Legal Compliance
We may disclose information when reasonably necessary to:
- comply with legal obligations
- respond to subpoenas, court orders, or lawful requests
- investigate fraud or misuse
- enforce our Terms of Service
- protect users, children, or the public
11. Children’s Privacy
Archie is designed for adults.
- Users must be 18 years or older
- Children may not create accounts
Parents or guardians uploading content involving children are responsible for ensuring appropriate permissions. Archie does not knowingly collect personal information directly from children.
Photos and videos uploaded by a parent or guardian may contain location metadata (latitude and longitude from the device that captured the file). Archie rounds this data to city-level granularity (approximately 11 kilometers) before storing it, and uses it only to help organize your family’s memories. Street-level coordinates are never stored, shared, or used for real-time tracking of any individual.
12. International Users
Archie operates in the United States. By using the Service, you consent to your data being processed and stored in the United States.
13. Security
Archie implements industry-standard safeguards, including:
- encryption in transit
- access controls
- secure infrastructure providers
However, no system can guarantee complete security.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify users of material changes. Continued use of the Service constitutes acceptance of the updated policy.
